Technology Corner

Welcome

Welcome to the inaugural issue of CRM & Technology Management. This email newsletter is brought to you on behalf of Customer Systems Inc, a SalesLogix Business Partner and CRM Guild member. This monthly newsletter has been designed for you, the CRM Administrator & Business Analyst, to provide you with tips and tricks that will help you get more out of your CRM system. We'll also do our best to keep you up to speed on the latest industry developments and other interesting updates we think you should be aware of.

In the last 7 years, the most significant lesson we've learned is the *crucial* role the Administrator plays in the overall success of CRM objectives for their company. This is why we are enthusiastic about providing you with what we hope will be beneficial information from month to month. (And if there is a topic you'd like us to discuss in a future newsletter, please send us your feedback.)

If CSI can ever be of service to you, please contact me at 480.941.1955.

Tips and Tricks

How Do New Groups Get Their Layout?
When you create a new Contact, Account or Opportunity group in the Sales Client, the Group's default Layout (i.e., which columns are displayed and the order and width of each column) is determined by the corresponding 'Latest' Group for each type. In other words, the Layout in the Group 'Latest Contacts' determines the layout for all new Groups.

Therefore, if you have a certain field that you want to see in all new Groups (or a field you don't ever want to see), change the 'Latest' Group and all new Groups that you build will have that layout. To apply this change for all users, go into the Architect and update the release of the Group after you change it.

What's in a Name?
When you enter a contact name into SalesLogix, SalesLogix automatically parses the name into its logical components. For example, if you add a contact named "John Q. Public," SalesLogix considers "John" to be the first name, "Q." to be the middle name and "Public" to be the last name and stores the name as such.

There are system picklists for both Last Name Prefixes (Van, St., etc.) and Last Name Suffixes (MD, Jr., etc). SalesLogix uses these picklists to determine, say, when you enter a contact named "Al Del Greco", that "Del" is not the middle name but it is, in fact, part of the last name. However, occasionally you may enter contacts whose last name prefixes or last name suffixes are not in the default system picklists and are therefore not recognized. This may cause problems when you try to do a lookup by last name. SalesLogix will seem unable to find the contact.

To see how SalesLogix has parsed a name, click into the Contact name field and simply press the F2 key. You'll see the name broken down into its components.

Prefixes and suffixes that you commonly run across can be added to the system picklists. Contact your SalesLogix administrator for help.

Involving Your CIO in CRM
Involving the head of your Information Systems function is critical to the success of any comprehensive Customer Relationship Management (CRM) program. The Chief Information Officer (CIO) must not only manage the installation of new company-wide computer systems but must also play a major role in ensuring that data is effectively assembled to create a comprehensive picture of the company's customers. Carol L. Johnson, a specialist in strategy development and technology management, has written an informative article about the ways in which the CIO’s involvement in the CRM transformation can create long-term benefits for the entire organization.
